1. General refund approach

Because services involve time, planning, strategy, communication, and custom work, payments are generally non-refundable once work has started, unless a separate written agreement states otherwise.

2. Deposits and retainers

Deposits, retainers, booking fees, and upfront payments reserve time and project capacity. These payments are non-refundable unless the project is cancelled before any work, planning, research, strategy, setup, or communication has begun.

3. Completed work

Payments for completed milestones, approved deliverables, consulting calls, audits, strategy sessions, design work, implementation, development, revisions, or support already delivered are not refundable.

4. Cancellations

If you cancel a project, you remain responsible for fees covering work completed, time reserved, expenses incurred, third-party costs, and approved milestones up to the cancellation date. Any unused balance may be handled according to the written agreement or project communication.

5. Eligibility for partial refunds

A partial refund may be considered if a payment was made in error, a duplicate payment occurred, or a project is cancelled before meaningful work begins. Refund eligibility is reviewed case by case and may be reduced by payment processing fees, administrative time, and any costs already incurred.

6. Non-refundable items

Third-party costs, software subscriptions, hosting, domains, paid templates, plugins, stock assets, transaction fees, platform fees, rush fees, completed consulting sessions, and approved milestones are non-refundable unless the third-party provider independently issues a refund.

7. Refund request process

To request a refund, contact Panda Agency with your name, invoice or payment reference, project details, and the reason for the request. Requests should be made as soon as possible after the issue is identified so the work status can be reviewed accurately.

8. Processing timelines

If a refund is approved, it will be processed through the original payment method where possible. Bank, card, and payment platform timelines may vary and are outside my control.

9. Chargebacks and disputes

Please contact Panda Agency before opening a chargeback or payment dispute so the issue can be reviewed. Unresolved chargebacks may result in paused work, termination of services, and submission of project records or communications to the payment provider.
